Photo and face match consent

What you're agreeing to

On step 1 of the order form, you tick a box next to these words:

I'm the parent or guardian. I consent to MiniMeBooks using these photos to make my book, including a one-time face match (see details).

If you add a grown-up's photo, the box also says: "Every grown-up in the photos agreed." This consent is separate from our Terms and Privacy Policy, which you accept when you place your order. We save the version of these words and the time you placed your order as a record of your consent. This is version 2026-09-25.

What we collect

• The photos you upload of your child, and of any grown-ups (or a pet) you add.
• A temporary face measurement. To compare likeness, our server turns each face into a list of numbers (a face measurement, sometimes called a face template or biometric data). It does this for a face in your photo and the matching face in a book picture, compares the two, and keeps only the result: one match score, like 0.82. The score can't be turned back into a face.

Why we use them

For one purpose only: to make your book and check it. That means:

• drawing your child (and any grown-ups you add) into the pictures,
• checking that the child in each picture really looks like your child, and
• showing you the preview so you can approve it.

We never use your photos or face measurements for advertising, to train AI models, or to identify, track or recognize anyone.

How the face match works

• It runs on our own server, in memory, for one check at a time. No outside company does the face match.
• Face measurements are never stored. They aren't saved to disk, logged, cached or sent anywhere. They're thrown away as soon as each check is done.
• It compares, it doesn't identify. It only asks "does the child in this picture look like the child in this photo?" It never looks anyone up or matches a face against any other database.
• Never sold or shared. We never sell, rent, trade, lease or share face measurements, or profit from them in any other way.

Who else sees your photos

• Our AI illustration studio partner, used by people around the world, uses your photos only to make your book pages. It never receives any face measurements.
• Secure cloud storage keeps your photos and book pages private and encrypted while we work on your order.
• Our small team may look at your photos and pages to check the quality of your book.

These providers may process data outside your country. Our contracts require them to keep it safe and use it only for our work. Ask us and we'll tell you privately who they are. More in our Privacy Policy.

How long we keep it (retention and destruction schedule)

• Face measurements: destroyed immediately after each check. Never stored.
• Photos and book pages: deleted 30 days after your book is delivered. The 30 days let us reprint if something goes wrong in printing or shipping.
• Orders that never finish: photos are deleted within 1 year of upload at the most, and usually much sooner.
• Sooner if you ask. Email hello@minimebooks.com and we'll delete them.

In every case, we destroy this data once the purpose (making and checking your book) is done, and never later than these dates.

Your choices and rights

• Saying no. You don't have to agree. Without this consent we can't make a personalized book from your photos.
• Prefer we skip the face match? Email hello@minimebooks.com before ordering and we'll talk about making your book without it. Our team will check the likeness by eye instead.
• Withdrawing consent. You can withdraw at any time by emailing hello@minimebooks.com. Before we make your book, we'll stop, delete your photos and talk to you about a refund. After delivery, withdrawing means we delete your photos and pages right away. Withdrawing doesn't undo what we did before you told us. Withdrawing is as easy as saying yes. Email hello@minimebooks.com with the words "withdraw consent" and your order number, and we'll confirm within 1 business day.
• Access, correction and deletion. You can ask what we hold, ask us to fix it, or ask us to delete it. We'll answer within 30 days.

Parents, guardians and grown-ups

• Only a child's parent or legal guardian can upload a child's photo and give this consent for them. Children shouldn't use the site themselves.
• Every grown-up in the photos must agree to their photo being used and to the face match before you upload it. By ticking the box, you confirm they did. If someone didn't agree, tell us and we'll delete their photo.

Where you live

United States

This page is our public written policy for biometric data, including under the Illinois Biometric Information Privacy Act (BIPA), the Texas biometric identifier law (CUBI), Washington's biometric identifier law and My Health My Data Act, and the Colorado Privacy Act. Ticking the box is your written release and electronic signature for the face match. Under the Children's Online Privacy Protection Act (COPPA), we collect a child's photo only from their parent or guardian, only to make the book they ordered, and a parent can review or delete it or withdraw consent at any time.

European Union and United Kingdom

Face measurements used to compare likeness can be special category (biometric) data. We rely on your explicit consent under Article 9(2)(a) of the GDPR and the UK GDPR, which you give by ticking the box. You can withdraw it as easily as you gave it, at any time. You also have the right to access, correct, delete and move your data, to object, and to complain to your local data protection authority (in the UK, the Information Commissioner's Office). A child's consent is given by their parent or guardian.

Canada, including Quebec

We ask for your express consent under PIPEDA and Quebec's Law 25 before we use photos or run the face match. We don't build a database of faces or face measurements, and we never use the face match to verify or confirm anyone's identity. If that ever changes, we'll tell the Commission d'accès à l'information first, as Quebec law requires, and ask you again.

Australia, the Gulf and everywhere else

We treat face measurements as sensitive information everywhere. That includes under the Australian Privacy Act, the UAE's Personal Data Protection Law and Saudi Arabia's Personal Data Protection Law, and we collect and use them only with your explicit consent, only for your book, and delete them as described above. Wherever you live, if your local law gives you more rights, we'll honor them.
